Finding the perfect rental property can be an exciting process, but in today’s fast-paced market, the best homes get snapped up incredibly quickly. If you view a property you love, you want to be in a position to secure it right away.

So, how do you put yourself at the top of the pile? The secret is becoming a "Gold Standard" applicant. By gathering your paperwork and preparing your references before you even start booking viewings, you can speed up the application process and show landlords that you are a reliable, highly organised prospective tenant.

Here is exactly what you need to have ready in your renting toolkit before you step through the door of your next viewing.

1. Proof of Identity and "Right to Rent"

Before any tenancy can be agreed upon, letting agents and landlords are legally required by the UK government to check that you have the right to rent in England. Getting this out of the way early saves a lot of back-and-forth later.

To prove your identity and your Right to Rent, you will typically need to provide a valid passport. If you do not have a UK passport, you may need to provide a share code from the Home Office or a biometric residence permit. It’s also standard practice to ask for a recent proof of address—like a utility bill or council tax statement dated within the last three months—tied to your current residence. Have clear, colour copies or photographs of these documents saved on your phone or computer, ready to email over as soon as you decide to apply.

2. Proof of Income and Employment

Naturally, a landlord needs to know that you can comfortably afford the monthly rent. As a general industry rule, your gross annual household income should be around two and a half to three times the annual rent.

To verify this, you will need to undergo an affordability check. If you are employed, be prepared to provide your last three months of consecutive payslips and matching bank statements. An employment contract or a letter from your HR department confirming your salary and job title is also incredibly helpful.

If you are self-employed, the process is slightly different. You will usually need to provide at least one year’s tax calculation (an SA302 form from HMRC) or a reference from a certified accountant, alongside your recent business bank statements.

3. The Power of Good References

A glowing review from a previous landlord is one of the strongest assets you can have. It proves that you pay your rent on time, respect the property, and communicate well.

You will likely be asked for a reference from your current or most recent landlord, as well as an employer reference to confirm your job stability. The biggest delay in the renting process usually comes from waiting for referees to reply to emails or return phone calls. You can speed this up massively by speaking to your landlord and your employer in advance. Let them know you are actively looking for a new place and ask them to keep an eye out for a referencing request. A quick heads-up ensures they reply promptly, keeping your application moving swiftly.

Do You Need a Guarantor?

If you fall slightly short of the required affordability criteria, are a student, or have a limited credit history, you might be asked to provide a guarantor.

A guarantor is usually a parent, family member, or close friend who legally agrees to cover your rent or the cost of damages if you are unable to pay. To be accepted, a guarantor generally needs to be a UK resident with a clean credit history and an income that is at least three times the annual rent. If you suspect you might need a guarantor, have that conversation with them before you start viewing properties so they are ready to step in and sign the paperwork if needed.
