Step 1 - Registering Your Interest
All applicants must register their interest online via our website. You can view our available properties below. Please complete either the Single Occupancy or Multiple Occupancy form, depending on your circumstances.
Once submitted, you will receive an email containing a copy of your completed form for your records, along with confirmation that we have received your registration.
We will only be in contact with applicants whose details align with the specific criteria of the property they’ve registered interest in. Applicants who progress to the next stage will be required to conduct further referencing before a viewing is organised.
If you do not receive further contact, it means that the details provided do not meet the criteria for the property you have registered for.
Step 2 - Viewings Booked with Qualified Applicants
Following the initial correspondence, applicants who qualifiy for the property will be required to conduct a credit check online and provide proof of income, for example, supplying bank statements or wage slips (this is upon the request from an agent).
This may be through an online platform or infomation required to send/bring into The Property Shop Yorkshire's Branch.
Once both sections are completed, we will contact you to arrange a suitable date and time for a property viewing.
Step 3 - Qualified Applicant Pays Holding Deposit to Secure Property
After the viewing, we will gather the applicant’s feedback and present it to the landlord. Together, The Property Shop Yorkshire (TPSY) and the landlord will decide whether to proceed with the application.
If the application is accepted, the applicant must pay a holding deposit which is equivalent to one week's rent as soon as possible. This payment secures the property under the status ‘Let Subject to Contract’, meaning no further applications will be considered for the property.
Step 4 - Applicant Referencing Begins
Once the holding deposit has been paid, we will proceed with the full referencing process. Applicants will be required to complete 4 Sections, which include:
ID Check - Verification of ID
Credit Check – Verification of Credit Status
Income Check – Verification of Financial Ability to Pay Rent (affordability)
Employment Check - Verification of Employment
If an applicant fails either of these checks, the holding deposit will be forfeited.
Step 5 - Referencing Complete, Tenancy Signed, Full Deposit & Remaining First Months Rent Received
Once the applicant has passed all referencing checks, we will prepare the tenancy agreement, outlining the agreed terms, including the start date and any included/excluded bills.
Once the agreement is signed, the applicant must pay:
✔ The full deposit (equivalent to 5 weeks' rent)
✔ The remaining first month’s rent (equivalent to 3 weeks' rent)
*Applicants have already paid the holding deposit which is deducted from the first months rent therefore the remaining balance is due.
These payments must be made before the tenancy start date and will only be charged once the tenancy officially begins...
Step 6 - Keys Pick Up Arranged & Set Up of Utilities
Once the applicant officially becomes a tenant by signing the tenancy agreement and paying all the required funds, we will initiate our utility switching service.
This service notifies all relevant utility providers (Gas, Electricity, Council Tax, and Water) to transfer the accounts from the landlord to the tenant, effective from the tenancy start date.
Tenants should begin organising their move and reviewing their utility bills before the tenancy begins.
To ensure a smooth transition, we arrange a key collection appointment weeks in advance. Depending on the circumstances, key collection will take place either at the property or at our office on the tenancy start date.
Step 7 - Keys Collected & Move In Complete
During key collection, tenants will receive a welcome information pack, which includes details on our online tenancy portal, PropertyFile. This platform allows tenants to:
✔ Report maintenance issues
✔ Access tenancy details & documents
✔ Download payment statements
We will also guide tenants through our office hours, payment procedures, and next steps, ensuring they feel fully prepared for their new home.
Step 8 - Finalising Move In & Inventory Signed/Agreed
One day before the tenant moves in, we conduct a detailed move-in inventory, documenting the exact condition of the property in a report with photographs. This thorough report ensures clarity on the property's state at the start of the tenancy.
Once the tenant moves in, the inventory report is sent to them immediately. Tenants will have 7 days to review, provide comments, and request any necessary adjustments. This step is essential to account for any minor details that may have been missed during the initial inspection but noticed once the tenant starts settling in.
Once the tenant’s feedback is incorporated, the inventory is finalised and securely stored. This record is crucial for future reference, particularly when comparing the property’s condition at the end of the tenancy.
Anyone who has ever rented a home knows what a stressful process it can be – finding somewhere suitable, endless form-filling, dealing with remote landlords… it can feel like a bit of a minefield to say the least.
