Step 1 - Registering As A Buyer 

If you’ve spotted a property you love, the best way to get things moving is to give us a call or pop into the office for a chat! 
 
Otherwise, to stay in the loop, please register your interest with us. You can do this quickly via our website, over the phone, or by dropping us an email.

How It Works: 
Stay Notified: Once you're on our list, we’ll reach out whenever a home hits the market that matches your criteria. 
 
Viewing Prep: To help you secure your dream home, we’ll just need to have a quick chat about your buying position (like your mortgage status or if you have a house to sell) before we head out for a viewing. 
 
Selection: We focus on matching the right buyers with the right homes. If a specific property isn’t the right fit this time, don’t worry—we’ll keep your details on hand for the next one that is.

Step 2 - Viewing Booked with Qualified Applicants 

Once we’ve discussed your interest and matched you with a suitable property, the next step is to get you "viewing ready" and qualified as a buyer. At the request of one of our agents, we’ll ask you to share some proof of your buying position—this usually includes things like bank statements, wage slips, or a mortgage Agreement in Principle (AIP). 
 
How to Share Your Info: 
We like to keep things simple! You can provide these details in whichever way suits you best: 
 
In-Person: 
By popping into The Property Shop Yorkshire’s branch. 
 
By Post/Email: 
Sending your documents directly to your dedicated agent. 
 
Booking Your Appointment: 
As soon as we’ve verified those details, we’ll be in touch right away to find a date and time that works for you to go and see the property!

Step 3 - Offer Negotiations with Qualified Applicants 

Once viewings have taken place and interest is confirmed, this is where the real conversation begins. 
 
If you decide to submit an offer, we’ll present it formally to the seller along with confirmation of your buying position. Because all applicants are pre-qualified, every offer we put forward is genuine, financially backed, and credible. 
 
Strategic Negotiation: 
We don’t just pass numbers back and forth. We provide the seller with full context — your position, timescale, flexibility, and motivation — helping to strengthen your proposal beyond just the price. 
 
Clear Communication: 
We act as the middle ground between buyer and seller, managing discussions professionally and keeping both parties fully informed throughout. 
 
Maximising Position: 
If there are multiple interested parties, we ensure the process remains structured and transparent, giving you clear guidance on how best to position your offer.

Step 4 - Qualified Applicants Make Offers 

Found the perfect place? Here is how we handle the next steps to help you secure it: 
 
Putting Forward Your Offer: 
Once you’ve seen a property you love, just let us know your offer price. We will then handle all the negotiations between you and the seller. 
 
Qualified Buyers Only: 
Because you’ve already completed your initial checks (proof of funds), the seller can see you’re a serious, "ready-to-go" buyer. This often makes your offer much more attractive! 
 
Fair & Transparent: 
We’ll keep you updated every step of the way. If there are other interested parties, we’ll ensure the process is handled fairly to give you the best chance of success. 
 
Sealing the Deal: 
Once an offer is accepted, we’ll move quickly to confirm the details in writing to both you and your solicitor so the legal work can get started.

Step 5 - Seller Accepts Offer 

This is the moment everyone has been working towards — the seller has formally accepted your offer. 
 
The property is now marked Sold Subject to Contract (SSTC), meaning the price has been agreed but the sale is not yet legally binding. The next stage focuses on confirming details and ensuring all compliance requirements are in place before legal work begins. 
 
Formal Confirmation: 
We will issue a written confirmation of the agreed price and any specific terms to both buyer and seller. This ensures complete clarity on what has been agreed before solicitors begin their work. 
 
Anti-Money Laundering (AML) Verification: 
As a regulated estate agent, we are legally required to carry out Anti-Money Laundering checks on all buyers once an offer is accepted. This includes verifying identity and confirming the source of funds being used for the purchase. 
 
Even if you’ve already provided proof of funds to secure viewings or strengthen your offer, this formal AML process is a mandatory legal requirement. There is a small administration fee for this check, and it must be completed before we can issue the Memorandum of Sale. 
 
This step protects all parties and ensures the transaction is compliant, secure, and ready to proceed smoothly.

Step 6 - Seller & Buyer Solicitors Instructed 

With the sale agreed and compliance checks completed, both parties now formally instruct their solicitors. This is where the transaction moves from agreement in principle to legal process. 
 
The Memorandum of Sale: 
Once AML checks are cleared, we prepare and issue the Memorandum of Sale to both solicitors. This key document confirms the agreed price, the details of both parties, and any special conditions. It acts as the official starting point for the legal work. 
 
Opening Your Legal File: 
Your solicitor will contact you to begin their onboarding process. They will request identification documents, initial paperwork, and funds on account so they can start drafting contracts and ordering searches. 
 
Mortgage & Survey Arrangements: 
If you are purchasing with a mortgage, you should now formally notify your lender so they can arrange a valuation. If you would like an independent survey for added reassurance, we will coordinate access with the seller and surveyor. 
 
Managing the Chain: 
If there are other linked sales and purchases involved, we stay in regular contact with all parties and solicitors to ensure communication remains proactive and delays are minimised.

Step 7 - Sale in Progress 

Now that the solicitors are working away, the sale is officially "underway." This is often the busiest time for the legal and financial teams, but don't worry—we’re here to keep everything on track. 
 
What’s happening right now? 
The Legal "Deep Dive": The buyer’s solicitor is busy reviewing the contract pack and raising "queries" or "enquiries." This is just their way of making sure everything about the property is 100% correct. 
 
Searches & Surveys: 
Local authority searches are being processed, and mortgage valuations or private surveys are usually carried out during this time. 
 
Chain Management: 
We spend a lot of our time talking to other agents and solicitors in the chain (if there is one) to make sure everyone is moving at the same pace. 
 
Our Role as Your Partner: 
We don’t just sit back once the sale starts! We act as the "glue" that holds the deal together. If there’s a delay or a question, we’re on the phone chasing updates so you don’t have to. We’ll keep you updated every step of the way until we reach the finish line.

Step 8 - Exchange of Contracts 

Exchange of Contracts: 
It’s Official! This is the moment everyone has been working towards. At this stage, the solicitors have finished all the checks, the mortgage is in place, and the buyer's deposit has been transferred. 
 
What Happens at Exchange? 
The Legal Snap: The solicitors for both sides read the contracts over the phone to ensure they are identical, and then they are physically posted to each other. 
 
The Deposit, Legally Bound & Setting the Date: 
The buyer’s deposit (usually 10% of the purchase price) is paid over to the seller’s solicitor. From this point on, neither party can pull out of the sale without significant financial penalties. It’s a huge weight off everyone’s shoulders! This is also when the Completion Date (moving day!) is officially fixed and written into the contract. 
 
What Should you do Now? 
Insurance: If you're the buyer, you must ensure your buildings/home insurance is active from the moment of exchange. 
 
Book the Vans: 
Now that the date is 100% confirmed, you can safely book your removal team and start packing those boxes!

Step 9 - Completion/Key Handover 

Completion Day: 
Welcome to Your New Home! The day has finally arrived! "Completion" is the official term for when the final balance of the purchase money is transferred from the buyer’s solicitor to the seller’s solicitor. Once the money has landed, the property officially changes hands. 
 
How the Day Unfolds: 
Usually, the money moves through the banking system in the morning. As soon as the seller’s solicitor confirms they have received the funds, they will call us to say the keys can be released. 
 
The "Key Call" & Collecting Your Keys:: 
Once we get the green light, we’ll give you a call immediately to let you know the good news. This usually happens around midday, but it can vary depending on the length of the "chain." You can then pop into our branch or we can meet you at the property to collect your new keys! We’ll have everything ready and waiting for you. 
 
A Quick Checklist for the Day & The Essentials: 
Make sure to take meter readings as soon as you step inside your new home. Keep a "day one" box handy with the kettle, tea bags, and a charger—you’ll likely need them!
