Our Tenant Process: Step 1
Registering your interest
All applicants must register their interest online via our website. You can view our available properties at www.thepropertyshopyorkshire.co.uk. Please complete either the Single Occupancy or Multiple Occupancy form, depending on your circumstances.
Once submitted, you will receive an email containing a copy of your completed form for your records, along with confirmation that we have received your registration. We will only contact you if further information is required. If you do not receive this initial correspondence, it means that the details provided do not meet the criteria for the property.

Our Tenant Process: Step 2
Pre-viewing referencing and booking a viewing.
Following the initial confirmation, applicants will receive a referencing link directing them to an online platform where they must create an account and complete Sections 1 & 2:
Credit Check – Requires some personal details for verification.
Income Check – Applicants can either submit income details via open banking or manually upload supporting documents, such as bank statements or wage slips.
Once both sections are completed, we will contact you to arrange a suitable date and time for a property viewing.

Our Tenant Process: Step 3
Viewing Complete & holding Deposit
After the viewing, we will gather the applicant’s feedback and present it to the landlord. Together, Property Shop Yorkshire (TPSY) and the landlord will decide whether to proceed with the application.
If the application is accepted, the applicant must pay a holding deposit equivalent to one week's rent as soon as possible. This payment secures the property under the status ‘Let Subject to Contract’, meaning no further applications will be considered for the property.

Our Tenant Process: Step 4
Post-viwing referencing, singing & paying remaining deposit & first months rent.
Once the holding deposit has been paid, we will proceed with the full referencing process. Applicants will be required to complete Sections 3 & 4, which include:
Employment Referencing – Verification of income and employment status.
Landlord Reference – Confirmation of previous tenancy conduct.
If an applicant fails either of these checks, the holding deposit will be forfeited.
If the application is successful, we will prepare the tenancy agreement, outlining the agreed terms, including the start date and any included/excluded bills.
Once the agreement is signed, the applicant must pay:
✔ The remaining deposit (equivalent to four weeks' rent)
✔ The first month’s rent
These payments must be made before the tenancy start date and will only be charged once the tenancy officially begins..

Our Tenant Process: Step 5
Picking key up & day of move in
Once the applicant officially becomes a tenant by signing the tenancy agreement and paying all required funds, we will initiate our utility switching service. This service notifies all relevant utility providers (Gas, Electricity, Council Tax, and Water) to transfer the accounts from the landlord to the tenant, effective from the tenancy start date.
Tenants should begin organising their move and reviewing their utility bills before the tenancy begins.
To ensure a smooth transition, we arrange a key collection appointment weeks in advance. Depending on the circumstances, key collection will take place either at the property or at our office on the tenancy start date.
During key collection, tenants will receive a welcome information pack, which includes details on our online tenancy portal, PropertyFile. This platform allows tenants to:
✔ Report maintenance issues
✔ Access tenancy details & documents
✔ Download payment statements
We will also guide tenants through our office hours, payment procedures, and next steps, ensuring they feel fully prepared for their new home.

Our Tenant Process: Step 6
Finalizing Move In & Post Move In Actions
One day before the tenant moves in, we conduct a detailed move-in inventory, documenting the exact condition of the property with photographs. This thorough report ensures clarity on the property's state at the start of the tenancy.
Once the tenant moves in, the inventory report is sent to them immediately. Tenants will have 7 days to review, provide comments, and request any necessary adjustments. This step is essential to account for any minor details that may have been missed during the initial inspection but noticed once the tenant starts settling in.
Once the tenant’s feedback is incorporated, the inventory is finalised and securely stored. This record is crucial for future reference, particularly when comparing the property’s condition at the end of the tenancy.
To ensure a smooth tenancy, we schedule the first property inspection for 4 months after move-in. This allows us to check how things are going and address any questions or concerns.
In the meantime, tenants can contact us at any time via our website's contact form for any queries or assistance.

WHY RENT WITH TPSY?
Stress-free process with a caring and supportive team
A Stress-Free Process
Anyone who has ever rented a home knows what a stressful process it can be – finding somewhere suitable, endless form-filling, dealing with remote landlords… it can feel like a bit of a minefield to say the least.
Well, The Property Shop aims to extract all the pain from this process and give tenants-to-be a much more pleasurable experience!
Owner Ryan Melles said: “We look after our tenants from the moment they sign up with us to the day they leave. They are valued customers and we aim to establish a relationship that continues throughout their tenancy, whether that’s a few months or many years.”
Caring and Supportive
This personal service is possible due to The Property Shop’s policy of fully managing all lettings and tenancies, so they in effect act as the tenant’s landlord. “Tenants know who we are and where we are, the shop offers them a comfortable place to visit if they need a chat.”
Ryan added. “We always make them feel welcome and are ready to listen. If there is a problem with their property, we’ll do our best to resolve it as quickly as possible.”
Tenants also have access to a 24/7 online portal, giving them the opportunity to report any issues or request repairs direct from their computer or phone. The Property Shop employs a full-time handyman and also has a wide network of trusted contractors who can be called up to tackle any urgent or specialist jobs that need doing.
